Privacy Policy
This Privacy Policy explains what ALAMOvoice ("we", "us", "ALAMOai", a product of ALAMO Artificial Intelligence Labs LLC) collects, why we collect it, how we handle it, and the choices you have. We try to keep this short and honest — we collect what we need to run the service, nothing more.
What we collect
- Account / business info you give us at signup — business name, your name, email, phone, business type, voice/persona preferences.
- Inbound call recordings — retained on our backend for up to 24 hours after each call. Customers may download recordings within that window. After 24 hours they are automatically deleted from our servers.
- Booking and lead data — structured records captured by the voice agent (caller name, callback number, requested service, message text, timestamp). Retained perpetually in your dashboard until you delete it or close your account.
- Voice agent transcripts — short-term, up to 7 days, for debugging and quality. After 7 days only the structured lead metadata above remains.
- Payment info — handled by Stripe. We don't see or store your full card number.
- Basic web/usage data — server logs, dashboard activity, IP address, browser/device. Used to operate and secure the service, not to track you across the web.
What we DON'T collect
- Anything you don't give us.
- Your personal cell phone's call history. We only handle voice traffic that comes to your dedicated ALAMOvoice business number (or whatever number you forward to it).
- Third-party advertising trackers. There is no Facebook Pixel, no Google Ads tag, no cross-site profiling.
Bring Your Own Key (BYOK)
If you paste your own LLM provider API key (Anthropic, MiniMax, etc.) into the dashboard, we encrypt that key at rest in our database. We use the key for one purpose only: to call your chosen provider on behalf of your business voice agent. We do not use your key for anything else, ever. Conversational data generated under your key is governed by your provider's data policies.
Connecting your Google or Microsoft calendar
ALAMOvoice can book appointments straight into your calendar. This is optional — you turn it on by clicking Connect Google or Connect Microsoft in your dashboard and signing in through Google's or Microsoft's own consent screen. We never see your Google or Microsoft password.
- What we access. With Google we request permission to view your calendars' busy/free times and to create and manage calendar events. With Microsoft we request the equivalent Calendars.ReadWrite permission through Microsoft Graph.
- What we do with it. Two things only: (1) read your busy/free times to work out which appointment slots are open, and (2) create a calendar event when your voice agent books an appointment. We do not read the contents of your existing events, and we do not use your calendar data for advertising, profiling, training AI models, or any purpose other than running your scheduling feature.
- What we store. An encrypted access/refresh token so your agent can keep booking without you logging in again, plus the booking events we create (also mirrored in your dashboard). We do not copy your wider calendar into our database.
- Disconnecting. You can revoke ALAMOvoice's access at any time from your dashboard (which deletes the stored token), or directly at myaccount.google.com/permissions (Google) or myapps.microsoft.com (Microsoft).
Limited Use disclosure. ALAMOvoice's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Third-party processors
We use the following service providers to operate ALAMOvoice. They each handle their own subset of data under their own privacy policies:
- Stripe — payment processing
- Telnyx — telephony (phone numbers, SIP voice transport, SMS)
- Anthropic — LLM (Claude) when using our hosted brain
- MiniMax — voice synthesis (TTS) and optional LLM
- Cartesia — speech-to-text (transcription) of inbound caller audio
- Resend — transactional email notifications
How we use the data
- Operate the voice agent and deliver leads to you.
- Send you SMS and email notifications you've opted into.
- Bill your subscription and process payments.
- Debug, secure, and improve the platform.
- Comply with applicable law.
We do not sell your data. We do not share customer call recordings or transcripts with third parties except the processors listed above (each strictly for their function), or as required by lawful process.
Data deletion
You can request deletion of your account and all associated data at any time — either from the customer dashboard (Settings → Delete Account) or by emailing [email protected]. We complete deletion within 14 days, except for records we're required to retain for legal, tax, or fraud-prevention reasons (Stripe transaction records, audit logs).
Security
Customer data is hosted on infrastructure we own and operate in Texas. API keys and other sensitive credentials are encrypted at rest. We follow industry-standard practices for access control, but no system is perfectly secure — if we ever experience a breach affecting your data, we will notify you as required by law and as quickly as we can.
Children
The service is intended for businesses. We do not knowingly collect data from anyone under 18.
Your rights
Depending on where you live, you may have rights to access, correct, delete, or port your data. Email [email protected] and we'll handle it.
Changes to this Policy
If we make material changes we'll notify you by email or dashboard banner. The "Effective date" at the top reflects the current version.
